When Quantum approached us, they were at a creative high point — landing bigger clients, pushing the boundaries of motion design, and growing fast. But behind the scenes, their team was drowning in admin.
Client onboarding was inconsistent. Briefs were scattered across email threads. Follow-ups, feedback loops, and file delivery often fell through the cracks. Their creative output was premium, but their systems weren’t keeping up.
What We Found:
We discovered that most of their workflow pain came from repetitive, manual tasks: onboarding new clients, gathering creative briefs, managing revisions, and sending final deliverables. These tasks were eating up valuable time and causing friction for both the team and their clients.
What We Did:
We built a custom Done-With-You automation stack to support Quantum’s creative engine:
Client Onboarding Automation using Typeform + Make, collecting project info and auto-populating Notion + Slack for internal visibility.
Automated Project Kickoff Workflows that triggered custom task templates in Asana and notified key team members.
Revision Management using Zapier, where client feedback from forms or email threads synced to ClickUp tasks automatically.
File Delivery Automation with Dropbox + Gmail, sending branded handoff emails and secure download links when projects were marked complete.
The Result:
Quantum cut admin time by 60%, streamlined their creative pipeline, and created a smoother, more professional experience for clients. Their team now spends more time animating and less time organizing.
